Cancellation Policy

Registrations may be cancelled for a full refund, less a 10% processing fee, until the early bird registration deadline. After the early bird deadline, cancellations are non-refundable (except in cases of emergency).



Hotel Policies

TWA negotiates hotel rates to provide accommodations for conference attendees at a reasonable cost and to improve the conference experience for its members. As part of these agreements, TWA assumes financial responsibility for any unused or cancelled rooms within our contracted room blocks (the Room Block).

Last-minute cancellations can lead to financial penalties for TWA. More importantly, these cancellations take rooms away from fellow TWA members who are waiting for a room in our Room Block. Despite these impacts, we continue to see significant numbers of late room cancellations at TWA conferences. We are also seeing stricter attrition enforcement by host hotels. As a result, we ask that all members and attendees agree to the below guidelines before booking a room within our Room Block.

By making a reservation in the TWA Room Block, you agree not to cancel your reservation with the hotel without first contacting TWA. You further agree to turn in any excess or unneeded reservations to TWA by the Room Block Waitlist Date. Failure to comply with this policy may result in financial responsibility for the full cost of any unused or cancelled rooms, and/or loss of Room Block privileges in the future.

Room Block

  • The Room Block rate is reserved exclusively for registered conference attendees.
  • Be conservative in making your reservations – please do not make speculative reservations.
  • Never cancel a Room Block reservation directly with the hotel without contacting us first.

Cancellations

  • If you need to cancel a Room Block reservation, email Lindsey Ford by June 10 (posted on the conference website as the Room Block Waitlist Date), so the reservation can be reassigned to someone on the waitlist. Note that this date is earlier than the hotel’s cancellation deadline. Once conference week arrives, TWA staff does not have the capacity to assign or reassign hotel rooms.
  • All individuals holding reservations within the Room Block must be registered for the conference by May 18 (posted on the conference website as the Room Block Registration Date).
  • In advance of the Room Block Registration Date, TWA staff will review the room list and contact reservation-holders who are not yet registered to confirm that the room is still needed or to assist with completing conference registration. If we do not receive a response to this email, the room may be released and reassigned by the Room Block Waitlist Date.

Waitlist

  • To join the Room Block waitlist, you must fill out the waitlist form on the conference webpage.
  • If the hotel’s booking website shows only partial availability for your stay, reserve a room for any available nights in your stay and fill out our waitlist form for the night(s) you still need.
  • Waitlisters must be registered for the conference to be eligible for rooms that become available.
  • Please be patient! We will receive additional rooms on a rolling period up until June 10 (the Room Block Waitlist Date). We do recommend you find a backup hotel option that you can cancel if a room becomes available in the Room Block.
  • If you receive an email from TWA to confirm a room transfer in our Room Block, please reply the same day to secure the reservation. If we do not hear from you by the end of the day, the room will be offered to the next person on the waitlist. You will also be required to provide credit card information directly to the hotel to finalize the reservation.
  • If your plans change and you no longer need to be on the waitlist, please notify Lindsey Ford so we can remove your name.
  • We will address waitlist submissions in order of submission (speakers and board members may be prioritized).

We understand plans change and life events happen. These policies are not meant to be punitive but are designed in the hopes of providing the best experience possible for our attendees, minimizing confusion, and reducing strain on our already busy staff. Code of Conduct

Texas Water Association (TWA) is non-profit organization with a vision to promote sound water policy for Texas. TWA members proudly provide water and wastewater service to the vast majority of Texans. In an effort to ensure member safety and the ability to effectively advocate for members, TWA holds its members, staff, board, volunteers, and sponsors to the highest professional standards.

Member safety is a top priority for TWA and behavior that is harassing, threatening, demeaning, or discriminatory will not be tolerated. In addition to protecting member safety, appropriate behavior is also critical to safeguard the integrity of TWA and the role it serves as an advocacy and educational organization. TWA is judged, in large part, by the individual and collective performance of its members. TWA members and supporters must act in a manner that merits public trust and confidence.

TWA is committed to providing an environment that is free from discrimination and harassment. Actions, words, jokes, or comments based on an individual’s sex, race, ethnicity, age, religion, or any other legally protected characteristic will not be tolerated. Unacceptable behaviors include, but are not limited to:

  • Harassment, intimidation, or discrimination in any form.
  • Physical, written, or verbal abuse of any attendee, speaker, volunteer, exhibitor, staff member, service provider or other meeting guest.
  • Actual or threatened violence toward any individual or group.
  • Conduct endangering the life, safety, health, or well-being of others.
  • Examples of unacceptable behaviors include: verbal comments related to gender, sex, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, threatening or stalking any attendee, speaker, volunteer, exhibitor, staff member, service provider or other meeting guest.

Any TWA member, conference participant, sponsor, or staff member who violates this Code during the course of a TWA sponsored event is subject to penalty, up to and including removal from the program and or the Association. TWA cannot control behavior or actions that occur outside of TWA events. However, the Association reserves the right to respond to actions that violate this Code.

By attending a TWA event, participants agree to abide by this TWA Code of Conduct and understand that they may be removed as a participant if they violate any of these provisions.



Infectious Disease

Participation includes possible exposure to and illness from infectious diseases, including but not limited to, COVID-19. While particular rules and personal discipline may reduce this risk, the risk of illness does exist. All attendees acknowledge that an inherent risk of exposure to infectious disease exists in any public place where people are present. By attending a TWA event in person, all guests voluntarily assume all risks related to exposure and agree not to hold TWA, the hotel, or any of their affiliates, directors, officers, employees, agents, contractors, or volunteers liable for any illness or injury. Please stay home if you have any symptoms of Covid-19 or other illness.
